Artificial Intelligence (AI) Use Policy

Olimpianos – Journal of Olympic Studies recognizes that artificial intelligence (AI) tools, including generative AI systems, may assist with research, writing, translation, analysis, and editorial activities. However, their use must comply with the principles of academic integrity, transparency, human responsibility, and data protection.

1. Authorship and responsibility

AI tools may not be listed as authors or co-authors of manuscripts. Authors remain fully responsible for the originality, content, data, analyses, interpretations, references, and conclusions presented.

The use of AI must not replace the authors’ intellectual contribution, scientific judgment, or responsibility.

2. Permitted and prohibited uses

AI tools may be used, under human supervision, for language editing, translation, manuscript organization, preliminary identification of literature, reference organization, code development, and data analysis support, provided that these procedures are verified and, when necessary, described in the manuscript.

AI may not be used to fabricate or manipulate data, results, images, references, or evidence; to present substantial AI-generated content without review and disclosure; to use unverified references; or to replace the authors’ analysis, interpretation, and intellectual contribution.

Authors must verify all information produced by AI tools, considering the possibility of errors, omissions, biases, and nonexistent references.

3. Declaration of AI use

The use of generative AI or tools that make a substantial contribution to the preparation of the manuscript must be disclosed. The declaration must identify the tool, its purpose, the stage in which it was used, and the review procedures carried out by the authors.

The declaration must be included before the references under the heading “Declaration of Artificial Intelligence Use.”

Model:

During the preparation of this manuscript, the authors used [name of tool] for [state the purpose of use]. The content produced or suggested was reviewed, corrected, and validated by the authors, who assume full responsibility for the final content of the manuscript.

When AI is used as part of the research method, data analysis, code development, or production of figures, its use must also be described in the Methods section and, when applicable, in the figure caption.

The use of conventional spelling, grammar, or punctuation tools that do not generate substantial content does not require a specific declaration.

4. Editorial verification

In cases of reasonable doubt regarding the undeclared or inappropriate use of AI, the journal may request clarification and supplementary documentation from the authors, including previous versions of the manuscript, editing records, data, codes, or other relevant evidence.

Automated AI-detection tools may be used only as support for editorial analysis and shall not be considered conclusive evidence on their own. The assessment shall also consider the coherence of the manuscript, the verification of references, the consistency of the data, and the explanations provided by the authors.

5. Noncompliance with this policy

Undeclared or inappropriate use of artificial intelligence may result in a request for clarification, rejection of the manuscript, publication of a correction, or, when necessary, an investigation into possible editorial misconduct, in accordance with the journal’s Code of Ethics and the guidelines of the Committee on Publication Ethics (COPE).
